How AiSDR revived closed-lost leads with smart, AI-powered outreach
Most teams treat closed-lost deals like a dead end, especially when the reason is simply “unresponsive”.

Step #1: Build a precise reactivation list
We didn’t send emails to every closed-lost lead in our HubSpot CRM.
Instead, we used AiSDR’s AI research engine to create a targeted reactivation list that prioritized relevance and timing.
Here’s how the process worked:
- We pulled closed-lost leads from our HubSpot, focusing specifically on those marked “unresponsive”
- AiSDR enriched each closed-lost lead with data from our past interactions, like emails, call scripts, and CRM notes
- We scanned for recent updates about the lead’s company or role so that outreach stayed timely and relevant
This gave us a refined lead list with people who were previously interested, still relevant, and potentially re-engageable based on fresh context.
Step #2: Create a specialized sales persona
Once we had the list, we created a unique sales persona that outlined the messaging we wanted to emphasize. AiSDR then created and sent personalized reactivation emails based on that persona.
To keep messages from feeling like a generic mass blast, each email was:
- Personalized with context from HubSpot and recent lead data
- Written in my tone and style
- Focused on new product value, namely what’s changed and why it’s worth a second look

Once the full sequence is live, this campaign becomes evergreen. And it will continuously reactivate closed-lost leads in a smart, context-aware manner that personalizes every touchpoint.

Here are the results after a week of running the campaign:
- Total emails sent: 194
- Leads engaged: 138
- Positive reply rate: 2.17%
- Meetings booked: 2
Most teams ignore closed-lost leads, assuming they’re a lost cause.
